Promoting Sensory-Inclusive Spaces Virtually

When we talk about sensory-inclusive spaces, people usually think about physical spaces, such as therapy offices or classrooms. With virtual therapy becoming one of the main ways to receive therapy, it’s just as important to think about sensory-inclusive virtual environments. Virtual sessions can be overwhelming if we don’t think about how different clients experience sights, sounds, and touch through a screen. Here are some simple ways to make virtual therapy sessions more comfortable and welcoming for everyone.

Before the Session

Encourage clients to set themselves up in a space where they feel safe, won’t be interrupted, and can focus without too many distractions. These are things clients, especially kids and teens, might not think of on their own, so it helps to gently guide them. That might mean closing a door, letting others at home know they’ll be in session, or finding a quiet corner that feels just theirs for that hour.

They can also make the space feel extra cozy or grounding by adjusting the lighting, putting on noise-canceling headphones, or having comfort items nearby like a blanket, fidget toy, or even a pet. Little things like this help clients feel more in control, which can make it easier to settle in and engage.

Take a moment at the start (or during intake) to check in about your client’s sensory preferences. A quick “what helps you feel most comfortable while we meet?” can go a long way. You may also ask:

It’s all about giving choices and recognizing that everyone has unique sensory needs. Some clients might want to chat out loud, others might like typing in the chat, drawing, or even screen sharing instead.

During the Session

The way we show up on screen can make a big impact on how safe and supported our clients feel. Clear, calm audio is especially important; using a quality microphone and speaking at a steady, gentle pace helps create a soothing virtual environment. Minimizing background noise when possible also supports focus.

It’s helpful to recognize that not everyone feels comfortable staying on camera the whole time. Letting clients know that it’s okay to take breaks from the screen can go a long way in helping them feel more in control. When screen sharing, try to avoid rapid switches or overly busy visuals, which can sometimes feel overwhelming.

You can also invite clients to use grounding tools during the session, whether that’s taking a few deep breaths, squeezing a favorite fidget, or holding something comforting nearby. These small adjustments can make a big difference in how connected and safe a client feels and help create a more sensory-inclusive and regulated virtual space.

Co-Regulate with Flexibility

Tuning into how a client is feeling can make all the difference. If things seem overwhelming, slowing your pace and gently naming what you notice, like, “I wonder if the screen or sound feels like a bit much right now”, can help clients feel seen and safe.

Your own nervous system matters too. The way you regulate through tone, pace, and presence can support co-regulation and help clients feel more grounded just by being with you.

It’s also meaningful to remind clients they have agency. Adjusting the volume, shifting lighting, changing posture, or even moving to a different space are all valid ways to stay comfortable and connected during a session. Giving them permission to do what they need reinforces trust, autonomy, and body awareness

Creating sensory-inclusive virtual spaces means acknowledging and respecting each person’s needs. It’s about offering choices, inviting comfort, and letting clients know they can show up just as they are, even in virtual spaces. When we take these thoughtful steps, virtual sessions can truly feel safe, flexible, and supportive, especially for clients with sensory sensitivities.
